Getting Started with PrevailForms

Download & Install

Download PrevailForms from the App Store on your iPhone or iPad (iOS 16+ required). The app is free to download with a 7-day trial included.

Create Your First Employer Profile

On first launch, accept the terms and create your employer profile. Enter your company name, EIN, address, and contact information. You can add multiple profiles if you manage several companies.

Add Workers and Projects

Use the Dashboard quick actions to add workers (with classifications and rates) and projects (with wage determination info). Set up your templates in the Prefill Manager for faster data entry.

Enter Hours & Generate Forms

Navigate to Timesheets, select your week, and enter hours. Review calculations and export WH-347 PDFs, eCPR XML, or OSHA forms directly from your device. No internet required!

What compliance forms does PrevailForms generate?

PrevailForms generates three types of compliance documents:
1. WH-347 Certified Payroll PDFs - Federal weekly payroll with Statement of Compliance
2. California eCPR XML v1.3 - DIR-compliant XML for California public works projects
3. OSHA 300/300A/301 Forms & CSVs - Injury/illness logs and ITA-ready CSV exports

Do I need internet to use PrevailForms?

No! PrevailForms works completely offline. All calculations, validations, and document generation happen on your device. You only need internet for the initial download and optional iCloud sync.

How do I enable iCloud sync?

Go to Settings → [Your Name] → iCloud and ensure iCloud Drive is enabled. Then open PrevailForms → Settings → iCloud Sync and toggle it on. Your data will sync automatically across all your devices signed in with the same Apple ID.

How do I validate my eCPR XML before uploading to DIR?

PrevailForms automatically validates your eCPR XML against California's official CPR.xsd v1.3 schema before export. If there are errors, you'll see a detailed list with element paths showing exactly what needs to be fixed. The app won't let you export invalid XML.

How does the free trial work?

Your 7-day free trial starts when you subscribe in the app. You'll have full access to all features. Cancel anytime during the trial and you won't be charged. After the trial, the subscription automatically renews at $199/year unless cancelled.

What happens if my subscription expires?

The app switches to Free Mode. You can view all your existing data (workers, projects, timesheets, exports) but cannot create new entries or export files. Previews show a watermark. Your data is never deleted. Resubscribe anytime to regain full access.

Can I get a refund?

All subscriptions are processed through Apple's App Store. For refund requests, please contact Apple directly through your App Store purchase history. Apple handles all refund decisions per their standard policies.

Troubleshooting

iCloud Sync Not Working

If your data isn't syncing across devices:

  1. Verify you're signed in with the same Apple ID on all devices
  2. Check that iCloud Drive is enabled in iOS Settings → [Your Name] → iCloud
  3. Ensure you have sufficient iCloud storage space
  4. Try toggling iCloud Sync off and on in PrevailForms Settings
  5. Check your internet connection (sync requires connectivity)

PDF Export Issues

If PDFs aren't generating correctly:

  1. Ensure all required fields are filled (employer, project, workers, hours)
  2. Check for validation errors in the review screen before export
  3. Make sure your device has sufficient storage space
  4. Try restarting the app
  5. If the issue persists, contact support with specific error messages

eCPR Validation Errors

If your eCPR XML fails validation:

  1. Review the validation results screen for specific error messages
  2. Check that all California-specific fields are filled (DIR Project ID, Awarding Body)
  3. Verify worker information is complete (names, IDs, classifications)
  4. Ensure hours and rates are valid numbers (no special characters)
  5. Double-check EIN format (XX-XXXXXXX)

App Crashes or Freezes

If the app is unstable:

  1. Force quit the app (swipe up from bottom, swipe app away)
  2. Restart your device
  3. Check for app updates in the App Store
  4. Ensure your iOS is up to date (Settings → General → Software Update)
  5. If crashes persist, contact support with device model and iOS version
